When we had fantasia (lovely product, lovely support staff), we used to send all our macros, fonts and form overlays ahead of every document printing.
Pretty sure it was just a tick box in the fantasia configuration screens.
Slightly higher network traffic, but you would have to be a geek to spot it !

We turn that setting off.
If it can't be changed, we don't buy that model or brand.
We use Canons, Samsungs, Ricohs, and HPs can still be bought. Xeroxes are OK too but we switched contracts.
