You can get ready for IRIS by following the list below. Check
the UTC IRIS web site http://cecasun.utc.edu/iris/ regularly.
New information is posted on it just as soon as possible.

Here are things you can do to get ready:

1. Be sure your computer is ready.

If you're not sure, e-mail your question and the UTC tag number of
your computer to [log in to unmask], or call 755-4000.

2. Study the terminology.  See the Glossary on the web site.

3. Become familiar with the coding changes. IMPORTANT!

   See Vanasia Parks e-mail Monday to UTCSTAFF called "IRIS Financial
   Transactions".  Find it and print it!

   Study it! Make a list of the new codes for your department and
   post them on the wall. These need to be used on forms now!

   - Legacy "Accounts" become "Funds, Cost Centers, and WBS elements."
   The numbering changes a little for some, none for others.

   - "Objects" become "GL Accounts."  The numbering changes a little.
   For 3 digit Expense accounts, put "4" in front and two zeros
   at the end.  Example: 391 becomes 439100

   - New FORMS that use the new terminology can be downloaded.

   - If you have questions, see the HELP page on the IRIS web site.

4. Study the Handouts listed on the UTC IRIS web site.  These
contain a wealth of information.  More will be added as we get
closer to July 1, so take the time to absorb these now.

5. Review the Record Retention requirements.  Meet with your
department head and plan how your department will respond to them

6. Install the SAPgui, INI files, and iTutor programs on your
computer from the UTC IRIS web site.  Remember, help is just a phone
call way at 755-4000 or send e-mail to [log in to unmask]

7. When Melanie asks you to take a training date for IRIS, please help
as best you can to use one of the sessions offered and please attend.
If you *must* miss it, please, please call to let Melanie or the trainer
know ahead of time.

IRIS training will be available for everyone who needs it.  It is
going on regularly and has been for weeks.  Many sessions are
taking place every week and many trainers are putting in lots of time
to make this available.  We're getting to everyone as soon as we
can.  When you have completed the training, remember that "practice
makes perfect".

By the way, if you need a little extra training, don't be shy, just
ask Melanie to schedule you for a session.

Final note: As you can see, the Web can help keep you informed.
Learn to check it regularly.

With some work by all concerned, we'll get through this by helping
each other.
