As a follow-up to my previous email, I would like to apologize for my
misunderstanding of Ms. Orth's message regarding our use of the UTCID
versus social security numbers. We in Financial Aid do request the
UTCID on our documents that are not associated with external entities,
and we do try to use only the UTCID in email messages regarding
students.

Although I understand the importance of privacy, especially regarding
social security numbers, our office cannot function without them. We
deal with many external entities, specifically student lending
institutions, which use social security numbers as identification. When
there are multiple students with the same name, we cannot use name as
identification. This involves the Records office as well, when a lender
requests enrollment verification. The UTCID will not be sufficient.
We also require tax documents from students and parents, and often need
actual copies of social security cards for verification through the
Dept. of Education. If a parent faxes us a tax return, we can't justify
returning it to them just because it is missing the student's UTCID.
It's hard enough getting the documents in the first place.
On another side of things, we have many students that apply for
financial aid well before being admitted to the university. This means
they do not even have UTCID's. The same is true for students that have
left the university prior to the implementation of UTCID's.
