There have been numerous inquiries concerning the new online overnight access
list.  In an effort to clear up some of the confusion, below is a step-by-step
guide that should be helpful in getting this new system running smoothly.  At
this time, hard copies of access lists will be used by security until Friday,
February 7, 2003.  By February 7, all departments interested in having an
overnight access list must have submitted an electronic list online (this
includes those departments who currently have a hard copy list in our office).
 Any lists submitted after this date will be subject to delays until it is
integrated into the online system.  What this means is that parties on the
list may be denied admission into department buildings should they try to gain
access before the list is online.

1.	I will be emailing each department a folder that contains two files
a.	an access list
b.	a memo form (if this is used, a notification e-mail needs to be sent to
[log in to unmask] to alert us to the fact that a memo has been sent)

2.	In the access list form, you will need to list, ALPHABETICALLY, the names
of any person who has been granted access to the building.  For each person
granted access you will need to provide the following information: name,
social security number, session during which they have access, and room(s)
they are granted access to.


3.	You will be responsible for any additions and/or deletions made to the list
at any time.  Security can only view your lists; we CANNOT edit the lists
under any circumstances, as we do not have access to them.


4.	At the end of each semester, a new list must be created.  Should there be
entries on the list that will be repeated from one semester to the next, the
party’s name may remain on the list, but the session and/or room(s) that the
person has access to MUST be updated or they will no longer have access to the
building.


Thank you for your cooperation as we implement this change.  This will greatly
improve our ability to guarantee the safety of the university’s employees,
students, and property.
