To maintain a consistent graphics image in official campus
correspondence, University policy requires all departments to use the
official University letterhead design.  Specific paper stock and ink
color are part of the design and are important to the overall image.

In response to concerns about printing costs as well as to bring an
updated, more contemporary look to our stationery package, the Office
of University Relations and the UTC Document Source have changed
paper stocks for official campus letterhead, envelopes and business
cards.

Beginning immediately:

*  All letterhead, matching envelopes, and business cards will be
printed on a bright white stock with navy blue ink

*   UTC Document Source will no longer print new orders on ivory
paper or using blue and gold inks.  During the phase-in period,
departments with existing supplies of ivory letterhead or envelopes
will be able to print matching stationery in limited qualities and
only to use up existing stock.

*  All departments will be required to adopt the new design as soon
as possible.

With the growing use of email for campus notices, most offices are
seeing a decline in demand for official stationery.  When departments
deem it necessary to send written correspondence on campus, we
encourage you to create one original and photocopy that page rather
than sending original letterhead to all recipients. Only the most
official on-campus correspondence dictates use of original
letterhead.  Off-campus correspondence, in most cases, should still
be sent using original letterhead.

All departments are required to use the UTC Document Source to print
stationery.  Over the past few months, several departments have
expressed concern that the Document Source prices were too high,
especially when compared to off-camups economy printers.  The reasons
of the price difference were the paper stock being used and the
printing quantities.

To maintain the lowest unit cost and highest discount on volume
printing, the UTC Document Source requires minimum orders of 500
sheets of letterhead, 500 business cards, or 500 matching envelopes.

Using the new paper stock, the cost of stationery through UTC
Document Source is:
$64 for 500 business cards
$99 for 500 sheets of letterhead
$110 for 500 envelopes

Using the old paper stock, the cost of stationery through UTC
Document Source was:
$66 for 500 business cards
$120 for 500 sheets of letterhead

For comparison purposes, a local economy printer, using non-specified
paper and ink, charges:
$87.25 for 500 business cards
$130 for 500 sheets of letterhead

Some departments have expressed concern over the 500 minimum quantity
for stationery materials, and the UTC Document Source staff is
looking at ways to print smaller quantities at lower costs while
maintaining the necessary quality.

In a few special circumstances, departments may create an informal
stationery package outside the official University design, but these
departments are required to maintain a supply of official letterhead
as well. Creation of letterhead using other designs is discouraged
and must be approved by the Office of University Relations prior to
printing.
