Periodically, we remind members of the University Community of the
procedures that are necessary to reserve space for activities that are not
regularly scheduled classes. With the recent addition of new classrooms
and facilities, there has been some confusion about the reservation of
space on the campus.
With very few exceptions, there are two agencies that handle space allocation.
1. The Records Office schedules all UTC academic classes and changes of
assignment. Requests for such space comes through the Departments and Deans.
2. The Facilities Use Committee is charged with the allocation of space for
specific short term activities in classroom buildings and other meeting
facilities e.g. (University Center, Maclellan Gym, Amphitheater).
Fees are assessed for all non-University use of any campus facility.
The University Center Office under the policies set by the Facilities Use
Committee is responsible for scheduling all these latter programs. This
requires checking all schedules, reservations, and classes to determine if
space is available. It is obvious, therefore, that advanced planning and
consideration of the staff and others doing programs are essential to
making this process work.
To reserve a space, please follow these procedures:
1. A phone inquiry to the University Center secretary will advise you if a
particular space is available. If you need many spaces
or multiple dates, you should send an e-mail or written inquiry. Remember
to give the staff and the process enough time to adequately handle your
request.
2. As soon as you are advised of the availability, submit the application
for Use of Facilities Form to the University Center Office. Fill out the
application completely, listing all sponsors and co-sponsors. Have the
responsible party (including budget authority) sign the request.
3. You will receive a confirmation in the mail. Do not take a space in
"your" building without
checking, even if it appears to be unused.
4. These steps will make for a smoother process, satisfied clients, and
avoid the frustration and poor relations that result from the confusion
that we would otherwise experience.
