SUBJECT: Refund of Fees in Event of Call-up of National Guard and
Military Reserve Units
Including Volunteer Enlistment in Military During
Operation Enduring Freedom
In the event that national guard and/or military reserve units are called
to active duty and it is necessary for students who are members of such
armed forces to withdraw from school, refunds of student fees and charges
will be made in accordance with the following exceptional policy:
1. Maintenance fees and out-of-state tuition relative to any course
for which credit is not awarded will be refunded in full regardless of when
during the semester the withdrawal occurs. Fees will not, however, be
refunded for any courses for which credit is given. If the withdrawal
occurs late in the semester and one or more of a student's instructors deem
that sufficient work has been completed to warrant awarding credit, fees
will be assessed at the hourly rate for courses for which credit is
granted, and a refund will be made in an amount equal to the difference
between the assessment and the fees paid for all courses in which the
student is enrolled.
2. Refunds of unused portion of room and board charges will be made on
a pro rata basis calculated from the first day of classes.
3. Vehicle registration fees, student activities fees, technology
fees, facilities fees and other course fees will be refunded in full
regardless of when during the semester the withdrawal occurs.
4. Students who voluntarily enlist in the armed forces during
Operation Enduring Freedom will also be eligible for fee adjustments.
In the event that it becomes necessary to invoke the provisions of this
exceptional refund policy, it shall be the responsibility of the Chief
Business Officer at each campus to ensure that adequate procedures are in
place to affect such refunds.
Please see that all affected personnel at your campus are provided with a
copy of this memo. In the meantime, please call me if you have any questions.
